MSH! Classes - Your Computer's Spreadsheet, Pg. 2

Your Computer's Spreadsheet

This is the second page of spreadsheet notes.

You are strongly encouraged to take notes with pencil & paper and using the computer.

NOTE: No points have been marked on this page for BREAKs. Decide for yourself when to break.

Compute a Total or Sum

The Autosum or automatic summation button, is found on the Toolbar at the top of the page.

1st: Create and label the data you wish to analyze.
2nd: Label the items you wish to have Excel compute.

3rd: Move the curser to the cell in which the sum or total is to be displayed.
4th: Press the Autosum button. This causes Excel to highlight
an array of cells, "it thinks you wish to total."
The range of cells is displayed in the cell itself and in the Formula Bar.
5th: Adjust the selected array of cells so that it is the
array of cells you wish to use.
You may either use the curser to adjust the selected array or use the keyboard to type the desired range of cells in the Formula Bar.
6th: Once you have the desired cells selected, press
[ENTER] to execute the command "compute
the sum of these numbers."

7th: This may be all you wish to do. The cell in which the
sum or total is displayed contains a formula, not a constant. If you wish this value to change if a value in the selected array is changed, stop now and permit this cell to remain a formula.

Choose Constant or Formula

8th Contstant: If you wish this value to remain constant,
go back with the curser to the cell in which
the computed total or sum is displayed.

9th Constant: Press Ctrl + C to copy the cell and Excel will
highlight the cell.
10th Constant: Press Alt + E to open the Edit Menu and select
Paste Special.

11th Constant: In the Paste Special Menu Box, select "Values"
and click "OK" to close the box and execute the command.
The displayed value is now a constant and will not change.
OR
8th Formula: If you wish this value to remain a formula,
go back with the curser to the cell in which the computed total or sum is displayed.
9th Formula: Press Ctrl + C to copy the cell and Excel will
highlight the cell.
10th Formula: Press Alt + E to open the Edit Menu and select
Paste Special.
11th Formula: In the Paste Special Menu Box,
select "Formulas" and click "OK" to close the box and execute the command.
The displayed value is now a formula and will change.

Compute the Mean

There are many functions available in Excel through the Paste Function, fx, button. Mean is one of the statistical functions.

1st: Put the curser in the cell in which you wish the mean
or arithmetic average displayed then press the Paste Function button.

2nd: Select Statistical and AVERAGE then press "OK."

3rd: Edit the range of cells so it includes only those you need.

4th: Press "OK" to compute the mean.

5th: Consider whether you wish to use
the Edit menu to Paste Special the cell to make it a constant not a formula.

Compute the Standard Deviation, a Spread

There are other ways to describe how data is "spread out" but the standard deviation is very useful and widely used.

1st: Use the same procedure as mean, above, but
use the STDEV function instead.
2nd: Be sure you have selected the array you wish.

3rd: Use Paste Special in the Edit menu if you wish
the value to remain constant.
